Service Agreement Overview and Scope
These Terms and Conditions (`"Terms"`) govern all catering services provided by Gumleaf Provisions, a Melbourne-based catering and event specialist. By engaging with our services, you formally agree to these Terms. They encompass our full suite of offerings, including corporate catering, private occasion catering, mobile food services, event planning, and bespoke menu design.
- • Agreement Acceptance: Engagement of our services, including payment of any deposit, signifies your acceptance of these Terms.
- • Effective Dates: These Terms become effective upon your agreement and remain in force for the duration of the service period.
- • Amendments: Gumleaf Provisions reserves the right to amend these Terms. Clients will be notified of significant changes in writing.
- • Relationship to Contracts: These general Terms complement and are incorporated into any specific service contracts or proposals.
Booking Procedures and Payment Terms
Securing your event date and services with Gumleaf Provisions is designed to be straightforward and transparent. We require a 50% non-refundable deposit upon confirmation of your booking to secure your date, with the balance due 14 days prior to your event.
- • Deposit & Confirmation: A 50% non-refundable deposit formally confirms your booking date.
- • Payment Schedule: The remaining 50% balance is due 14 days before the event date.
- • Accepted Methods: We accept bank transfers and major credit cards (surcharges may apply for credit card payments).
- • Pricing & Validity: Quotes are valid for 30 days from issuance and are based on the details provided at the time.
- • Late Payments: A 2% weekly late fee may be applied to overdue balances.
Cancellation and Event Modification Policies
We understand that plans can change. Our modification and cancellation policies are designed to be fair, reflecting the resources committed to your event. All cancellations or significant modifications must be submitted in writing.
- • Cancellation Fees: Cancellations made less than 30 days prior to the event date will incur a 75% charge of the total agreed-upon amount.
- • Modification Deadlines: Guest count reductions or menu changes must be finalised no less than 7 days before the event.
- • Force Majeure: In cases of unforeseen circumstances beyond our control (e.g., natural disaster), efforts will be made to reschedule, or a credit may be issued.
- • Rescheduling: Rescheduling requests are subject to Gumleaf Provisions' availability and may incur additional charges.
Liability, Insurance, and Mutual Responsibilities
Gumleaf Provisions is committed to delivering exceptional and safe culinary experiences. We maintain public liability insurance and adhere to stringent food safety standards. Clear expectations regarding responsibilities ensure a successful event for all parties involved.
- • Gumleaf Responsibilities: We are responsible for food quality, preparation, timely delivery, and service as agreed.
- • Client Responsibilities: Clients must provide accurate guest numbers, venue access, and notify us of any specific venue restrictions or requirements.
- • Food Safety & Allergens: While we accommodate dietary needs, clients must communicate all serious allergies in advance. We cannot guarantee a 100% allergen-free environment in cases of severe cross-contamination risk.
- • Insurance: Gumleaf Provisions holds comprehensive public liability insurance. Details available upon request.
- • Dispute Resolution: Any disputes will be addressed through good-faith negotiation, and if necessary, mediation.
